About Houston
ExxonMobil's state-of-the-art campus north of Houston serves as home to its Upstream, Product Solutions and Low Carbon Solutions businesses and their associated service groups. The facility opened in 2014 and accommodates more than 10,000 employees and visitors.

What role you will play in our team
We are seeking an experienced Executive Administrative Assistant to provide professional administrative support to multiple executives within our Major Growth Ventures (MGV) team. This role primarily supports MGV executive leadership while also providing assistance to the broader MGV organization as needed.
The ideal candidate will have 10+ years of executive administrative experience and be a proactive professional with exceptional communication skills, strong attention to detail, the ability to manage multiple priorities, and a commitment to excellence. Given the dynamic nature of executive support, success in this role requires flexibility, sound judgment, discretion, and the ability to maintain confidentiality while effectively managing competing demands.
This position is based in Spring, Texas, at the ExxonMobil Houston Campus.
What you will do
Scheduling & Calendar Management
- Coordinate meetings, appointments, video conferences, and conference room reservations through Outlook while balancing competing priorities and scheduling conflicts.
- Proactively monitor calendars, identify conflicts, and recommend scheduling adjustments to support time management and meeting effectiveness.
- Send meeting invitations, reminders, confirmations, and follow-up communications.
- Coordinate domestic and international travel arrangements through BCD Travel (TripSource), including flights, hotels, ground transportation, and itinerary management.
- Prepare organized travel packets, agendas, and supporting documentation to ensure travelers are well prepared.
- Provide coverage and support for Executive Assistants as needed to maintain continuity of operations.
Communication & Relationship Management
- Create, edit, format, and proofread correspondence, reports, presentations, and other business documents when needed.
- Maintain organized electronic and paper filing systems to support efficient recordkeeping and document retrieval.
- Enter, update, and maintain information within spreadsheets, SharePoint sites, databases, and internal systems.
- Manage SharePoint and OneNote access requests and perform periodic reviews to ensure appropriate access management and document organization.
Project & Operational Support
- Coordinate onboarding activities for new employees, including badge requests, paperwork, equipment coordination, and workspace setup.
- Prepare and distribute materials for meetings, training sessions, leadership reviews, and team events.
- Support departmental projects and initiatives by coordinating logistics, tracking tasks, and assisting with project-related activities.
Financial & Records Management
- Process invoices, expense reports, and reimbursement requests through Chrome River accurately and within established timelines.
- Track purchases and maintain records associated with corporate credit card expenses.
- Facilitate Contract Agreement Repository audits by organizing documentation and maintaining accurate records.
Technology & Systems Support
- Maintain and update internal databases, shared drives, records, and team collaboration sites.
- Troubleshoot routine technology issues and coordinate escalation when necessary, utilizing EMConnect.
- Operate and support office equipment, including printers, scanners, and copiers.
- Submit and track work orders for equipment, facilities, and workspace-related requests.
- Identify opportunities to improve administrative processes and organizational efficiency through effective use of technology and established procedures.
About you
Skills and Qualifications
- 10+ years of executive administrative experience supporting senior leaders
- Demonstrated ability to maintain confidentiality and handle sensitive information with discretion and integrity
- Highly organized, proactive, and resourceful, with strong attention to detail and the ability to anticipate needs and solve problems independently
- Excellent verbal and written communication, interpersonal, and relationship-building skills
- Strong time-management skills with the ability to prioritize, manage a high-volume workload, and adapt to changing business needs
- Flexible team player who collaborates effectively while working independently when needed
- Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and quick to learn new technologies and systems
