About Houston
ExxonMobil's state-of-the-art campus north of Houston serves as home to its Upstream, Product Solutions and Low Carbon Solutions businesses and their associated service groups. The facility opened in 2014 and accommodates more than 10,000 employees and visitors.
By bringing many global functional groups together, the campus provides employees with the tools and capabilities needed today, and in the future, to achieve business objectives and accelerate the discovery of new resources, technologies and products. What role you will play in our team
This role provides crucial support to teams and individuals by managing schedules, handling correspondence, organizing documents, and ensuring smooth office operations. The role is responsible for tasks such as data entry, report preparation, meeting coordination, and maintaining compliance with company policies. Strong organizational and communication skills are essential for this role.
The job location is Spring, TX (Houston Campus)
What you will do
- Administrative Support: This includes tasks like scheduling appointments, managing calendars, ordering supplies, and managing mail
- Communication: Handling internal and external communications, including drafting memos, emails, and reports
- Document Management: Organizing and maintaining both physical and electronic files, including scanning and copying documents
- Meeting Coordination: Scheduling meetings, managing agendas, arranging conference rooms, and coordinating logistics for internal/external events
- Data Management: Inputting, managing, and reporting on data, often utilizing tools like Excel and other database systems
- Compliance: Ensuring adherence to company policies and procedures
- E-requests: Generating and managing e-requests for workgroup needs, including ID's, access, and hardware/software
- Travel Arrangements: Coordinating domestic and international travel arrangements, including expense processing
- Expense Reporting: Preparing and processing expense reports for team members
- Timekeeping and Payroll: Assisting with timekeeping and payroll duties
- Organizational Charts: Managing and preparing organizational charts, flowcharts, and contact information
- Confidential Information: Handling confidential and sensitive information with discretion
About you
Skills and Qualifications
- Strong Organizational Skills: Ability to prioritize tasks, manage multiple responsibilities, and meet deadlines
- Excellent Communication Skills: Effective verbal and written communication skills are crucial
- Proficiency in Microsoft Office Suite: Strong skills in Word, Excel, PowerPoint, Outlook, and SharePoint are required
- Computer/Internet Skills: Proficient in using the internet and web-based tools and platforms for tasks
- Attention to Detail: Accuracy and attention to detail are important for data entry, report preparation, and other tasks
- Problem-Solving Skills: Ability to identify and resolve issues independently
- Discretion and Confidentiality: Handling sensitive information with discretion and maintaining confidentiality
- Teamwork: Ability to work effectively as part of a team and network across organizations
- Adaptability: Ability to adapt to changing priorities and work in a fast-paced environment
Preferred Qualifications/ Experience
- Experience: Previous experience in administrative support roles is preferred
