Medical Business Support Manager

Job Role Summary

Provide Medicine and Occupational Health (MOH) organizational support in managing all clinical related administrative activities. These include oversight associated with vendor interface, equipment management, budget tracking, controls compliance, contract management, information technology, patient scheduling processes, medication stock management, etc. Provide supervision/day-to-day direction to a group of administrative assistants.

The Business Support Manager reports to the MOH Global Technical Operations Support Manager.


Job Summary


The ideal candidate will be a self-starter, with a curious mind and will bring great energy to the assignment. The candidate will initially evaluate existing processes, question existing norms, gather appropriate data, make relevant observations and propose streamlined approaches to efficiently run the administrative processes of the MOH Spring Clinic, serving a customer base population of about 12,000 individuals. The candidate will prove the sustainability of the new/improved processes and steward them to the Spring Clinic Occupational Health (OH) Manager. Subsequently, with an efficient Spring Clinic administrative services delivery model in place, the individual will look into implementing similar (fit-for-purpose) efficient administrative service delivery processes at the various USA manufacturing sites (e.g. Baytown, Baton Rouge, Beaumont, Joliet and Billings).

Job Role Responsibilities
  • Responsible for setting up and maintaining the MOH controls environment at the Spring Clinic in line with EM controls framework and MOH business processes and testing protocols. Work scope includes but is not limited to:
    • Stewardship over medically-related service costs and capital budgets on a monthly basis, including the annual P & B cycle.
    • Stewardship over Purchase-to-Pay controls and vendor activities.
    • Establish appropriate controls over medication & consumables stock on hand. Act as primary client contact for medically-related service and material/inventory providers.
    • Facilitate new vendor relationships to improve clinical services delivered.
    • Establish/improve, when needed, billing and referral workflow with outside clinical referrals to health care providers/institutions or diagnostics facilities.
    • Act as Controls Advisor for medically related services, responsible for assessing and managing the controls environment, ensuring compliance with CIMS, and providing controls guidance to functional staff.
    • Stewardship over the 5 year Fixed Asset Verification process and ensure that capital assets are correctly recorded on equipment inventory spreadsheets.
    • Stewardship over Medical equipment inventory. Ensure that accurate records are kept for routine maintenance and calibration of equipment.
    • Performing business process CIMS risk assessments in collaboration with the Spring Clinic OH Manager.
    • Stewardship over IT related risk assessments.
    • Stewardship over Data Privacy related risk assessments
    • Stewardship over data security and protection.
    • Stewardship over the physical security of the clinic.
    • Perform Business Continuity Plan (BCP) desktop drills and adjust the BCP as needed. 
  • Supervise several Administrative Assistants to ensure efficient day to day administrative support and development.
  • Take the lead role for any Audit related activity, including formal Internal Audit Assessment and interim Unit Internal Assessments.
  • Manage a close and effective working relationship with Procurement, EMCS/CTrax activities, ensuring that cost-effective contracts for medically related services are placed and managed to the best advantage of the company.
