Information Management Coordinator

Job Role Summary


Ensure the integrity, use, and safe keeping of the information asset/library comprising Technical Documents and Corporate Records as dictated by Operations Integrity Management System (OIMS), Controls Integrity Management System (CIMS) and the Records Management Guidelines (RMG).

Job Role Responsibilities


  • Ensure archived (offsite) holdings are retained according to Basic Records Retention Requirements and are provided on demand to support  base business as well as audit, assessment, law and royalty matters
  • Understand core corporate guidelines and policies that impact or are impacted by information holdings
  • Maintain effective implemented procedures governing core Information Management activities—receipt, registration, indexing, distribution and destruction of information in Information Management’s custody
  • Facilitate alignment across all assets and to corporate standards in the use of information databases, systems and repositories
  • Support all functions in developing appropriate protocols to manage their information, whether received or retained, and assist them in applying Records Management Guidelines requirements within their teams
  • Assist in developing documents or sets of documents in support of such key business processes for achieving and maintaining Operations Authorizations
  • Maintain procedures to document and guide how Information Management requirements are met in Guyana
  • Develop and deliver training and orientation programs on the effective use of Information Management systems
  • Liaise with IT on analyzing failures and system anomalies, finding solutions, and tracking cases to closure to ensure all failures are addressed as quickly as possible
  • Carry out User Acceptance Tests as requested by IT on Global systems and applications, as well as testing of proposed changes to existing systems
Education and experience


  • A 4-year university degree in field related to Information Management with computer studies and Information Technology
  • 3-5 years’ experience managing technical documentation and records
  • Experience in business management and communication and technical communication
  • Extensive knowledge of information management principles and techniques
Core competencies


  • High level of computer literacy, particularly in implementing and maintaining an Electronic Document Management System (EDMS)
  • Teaching or technical training experience
  • Ability to understand technical (engineering, operations and statistical) concepts and data and to document or communicate them effectively to diverse audiences
  • Ability to transfer documentation and metadata in all currently accepted media
  • Ability to apply Quality Assurance/Quality Control and Continuous Integration tools and processes
  • Knowledge of Guyana Regulatory Regimes and Guyana legislation as it applies to Information Management
  • Maintain the highest level of ethical behavior while working with confidential information
  • Excellent communications skills with ability to communicate effectively (written and verbally)
